Hiring a Photographer for a School Commencement

Every name, every handshake, framed the same way. That's the core deliverable.

If you’re booking a photographer for your school’s commencement, the quality of the photos depends mostly on the brief you give them. Here’s what an experienced event photographer needs from the administration.

Share the program and the run of show

The photographer should have the printed program, the processional and recessional routes, the seating plan, and the timing of speeches, awards and the diploma segment. Flag anything unusual — a moment of silence, a class gift, a student speaker, a surprise honoree.

Define the stage coverage

  • One photographer dedicated to the diploma line — a consistent frame of every graduate’s crossing and handshake.
  • A second covering wide ceremony — the room, the speakers, the audience, the processional.
  • Agree the position for the stage shooter with your AV and staging team so they’re not in the sightline of the live stream or the audience.
  • Confirm whether families may approach the stage or must stay seated — it changes where the photographer stands.

Give them a shot list

Beyond the diploma line: the principal or president at the podium, each honored speaker, award recipients, the cap toss, the class officers, board members, and a handful of staged VIP groupings afterward. Name a staff member to identify people the photographer won’t recognize.

Plan delivery for families

The most useful deliverable is a private online gallery, ideally organized or searchable so a family can find their graduate, with print ordering built in so the school isn’t handling money or fulfillment. Agree the turnaround — a preview set within days, the full gallery within two to three weeks — and how the school will share the link.

Logistics to confirm

  • Arrival time and load-in, parking, and a contact on site.
  • Backup for weather if any part is outdoors.
  • Whether the photographer also provides staff headshots or class composites while on site.
  • Insurance and any district vendor requirements.

Frequently asked questions

Do we still need a photographer if the ceremony is live streamed?
Yes — they do different jobs. The live stream serves families at home in the moment; still photography gives every family a printable record of their graduate crossing the stage. We provide both from one team.
How many photographers for a ceremony of 300 graduates?
Two is standard — one on the diploma line, one on wide and speakers. Very large ceremonies or multiple stages may want a third.
