On-Site Team Headshots: How the Day Runs

A portable headshot studio set up in a corner of an office
A spare conference room becomes a studio for a day. Staff barely lose work time.

Bringing a photographer in-house is the efficient way to get a whole team’s headshots matching. Here’s what the day actually looks like so you can plan around it.

The space we need

  • A room roughly 12 by 15 feet or larger — a conference room is ideal — that can be held for the day.
  • One standard power outlet. We bring the rest.
  • Ideally a door we can close for a consistent look and less foot traffic.
  • A nearby spot for people to wait a minute and check a mirror.

Setup and teardown

About 45 minutes to set up before the first appointment and 30 to break down. If load-in from the parking lot or a freight elevator is involved, tell us in advance.

Scheduling and throughput

We work from a sign-up sheet with a slot every 4–5 minutes — roughly 10–12 people an hour, 60–80 in a full day — with breaks built in. Each person gets a minute of coaching, a dozen or so frames, and a quick review on the screen so they leave knowing there’s a good one. Send us the headcount and we’ll tell you how many hours or days it takes.

Selection and retouching

Two common models: each person picks their favorite from a proof gallery afterward, or we select the strongest frame per person to keep it moving. Retouching is standardized — clean, natural, consistent skin and stray-hair cleanup — so the final set looks like one shoot, not fifty.

Delivery

  • Final images in web and print sizes, plus square and cropped versions for LinkedIn, the website bio grid, and the CMS.
  • Consistent naming (lastname_firstname) so IT and marketing can drop them straight in.
  • A private gallery link for staff to download their own.
  • Turnaround is typically one to two weeks; rush is possible.

Keeping it consistent later

New hires break the set over time. We keep your lighting and background specs on file and offer a periodic half-day — quarterly or twice a year — to shoot the additions so the wall stays uniform.

Frequently asked questions

What if people are in different offices?
We travel between sites, or run a couple of dates. Keeping the same setup and specs across locations is exactly how we keep a distributed team’s headshots matching.
Can we do this at an offsite or conference?
Yes — a headshot station at a company retreat or conference is a popular add. We just need a room, not a hallway, for consistent results.
How much notice do you need?
Two to three weeks is comfortable for scheduling and sending the wardrobe guide. We can sometimes do less.

Need the whole team done in a day? Send us your headcount and location and we’ll map out the schedule.
