A Sweet 16 has a wedding-like run of set pieces packed into one evening. Here’s the checklist we work from so none of them slip by.
Before guests arrive
- The room, decor, place settings and cake — clean, before anyone touches them.
- The montage board, sign-in canvas and any photo displays.
- A few calm portraits of the birthday girl while she’s fresh.
- The DJ or MC to confirm the timeline and the order of events.
Early in the party
- Family groupings: with parents, siblings, grandparents, each side of the family — done early, before the dance floor takes over.
- The birthday girl with her closest friends.
- Guests arriving, the cocktail/mocktail hour, first reactions to the room.
The set pieces
- Grand entrance — in position early, get her face and the crowd.
- Candle-lighting ceremony — get the list of the 16 (plus a ‘bonus’) candles in advance; each call-up is a grouping.
- Father–daughter dance and any other special dance.
- Montage / slideshow — photograph the room watching, and her reaction.
- Cake and toast — her face during the speech, not just the speaker.
- The ‘giveaways’ / hype moment if the DJ does one.
The rest of the night
Photo booth or step-and-repeat, the dance floor at full tilt, games and dance-offs, the friends piling in for group shots, and a few quiet frames near the end. If there’s good outdoor light early on, steal five minutes for portraits of her and the immediate family.
Frequently asked questions
One photographer or two?
For a party of 100+ with a full program, two is better — one on the birthday girl and the set pieces, one on reactions, the room and the dance floor.
How many hours of coverage?
Four to five hours covers setup and portraits through the montage and a solid block of dancing for most Sweet 16s.
